Elections 2015

Any Kingston LGBT Forum member can stand for election to our Committee, this also the perfect time to hold your Committee to account for the work they have done over the past year. If you are interested in running for the Committee then you can email our Chair at chair@kingstonlgbtforum.org.uk

Role Descriptions

Committee Member

  • Make sure everything the Forum does is legal

  • Make sure we stay true to our Constitution

  • Make sure we use our resources properly

  • Contribute by steering the Forum’s strategy, setting policies, defining goals and evaluating performance

  • Uphold the good name of the Forum

  • Make sure the Forum’s administration works well

  • Make sure the Forum has enough money

  • Protect and manage the Forum’s property and make sure funds are invested properly


Chair

In addition to the general responsibilities of a committee member, the Chair will:

  • Hold overall responsibility for the Forum

  • Plan the annual programme of meetings

  • Set agendas for meetings

  • Chair and facilitate meetings

  • Direct policy and strategy

  • Make sure decisions made at meetings are followed through

  • Represent the Forum at functions and meetings and act as a spokesperson

  • Delegate tasks to other committee members


Vice Chair

In addition to the general responsibilities of a committee member, the Vice Chair will assist the Chair to:

  • Plan the annual programme of meetings

  • Set agendas for meetings

  • Chair and facilitate meetings

  • Direct policy and strategy

  • Make sure decisions made at meetings are followed through

  • Represent the Forum at functions and meetings and act as a spokesperson

  • Delegate tasks to other committee members


Treasurer

In addition to the general responsibilities of a committee member, the Treasurer will:

  • Make sure the Forum is financially viable and that proper financial records and procedures are kept

  • Oversee, approve and present budgets, accounts and financial statements

  • Make sure the Forum’s financial resources can meet our present and future needs

  • Make sure the Forum has reserves

  • Prepare and present financial reports

  • Make sure we have proper accounting procedures and controls

  • Advise on the financial implications of the Forum’s plans

  • Make sure there are no conflicts of interest in the way resources are used

  • Make sure resources are used in a way that is legal and consistent with our aims

  • Make sure the Forum complies with the law

  • Make sure equipment and assets are maintained and insured

  • Prepare accounts and disclose them in the way expected by funders

  • Tell the board about their financial responsibilities

  • Help raise money for the Forum’s activities


Secretary

In addition to the general responsibilities of a committee member, the Secretary will:

  • Make sure the functioning of the committee runs smoothly

  • Preparing agendas with the Chair

  • Booking venues for meetings and events with the correct equipment, refreshments and facilities for those with special needs

  • Sending out papers in advance of meetings

  • Taking agenda items from other members

  • Minuting meetings and sending out the draft minutes to the members

  • Checking that action points from meetings have been done
